Privacy Policy

This policy explains what we do with your personal information when you use this website, send us an enquiry or place an order. We keep it short and in plain English on purpose.

Who is responsible for your information

Valley Sawmills is a trading name of Herriard Sawmills Ltd, company number 02231169, registered office Birchmead, Peppershells Lane, Compton Dando, Bristol, England, BS39 4LL.

The yard is at Holwell, Frome, Somerset, BA11 4PZ. Herriard Sawmills Ltd is the data controller.

What we collect, and why

  • Name, email, phone and postcode when you send an enquiry, so we can price the job and get back to you.
  • Details of what you need, and any file you upload when you send an enquiry, so we understand the job.
  • Name, address, email and phone when you place a firewood order, so we can take payment and deliver.
  • Your email address if you sign up to our newsletter.
  • Basic website usage data, collected automatically, to keep the site working.

We do not collect more than we need, and we do not ask for anything we have no use for.

Card payments

Card payments are handled by Stripe. We never see or store your full card number. Stripe is a separate data controller and has its own privacy policy.

Who we share it with

We do not sell your information and we do not pass it to anyone for marketing.

We share it only with the businesses that help us run ours:

  • Lightspeed, our till and stock system. When you place an order online it is recorded in Lightspeed, including your name and delivery details, so the yard can fulfil it.
  • Stripe, our payment provider.
  • Mailchimp, if you have signed up to our newsletter.
  • Our website host and email provider.
  • Our accountant, and HMRC where the law requires it.

Our newsletter is sent through Mailchimp. If you subscribe, Mailchimp holds your email address and your subscription preferences on our behalf, and has its own privacy policy.

How long we keep it

Enquiries that do not turn into orders: 2 years

Order records: six years, because HMRC requires us to keep business records that long.

Newsletter subscribers: until you unsubscribe.

Your rights

You can ask us to show you what we hold about you, correct it, delete it, or stop using it for marketing. Email hello@valleysawmills.co.uk or ring 01373 836375 and we will deal with it within one month.

If you are not happy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Marketing

We only send you a newsletter if you have asked for one. Every email has an unsubscribe link, and we will act on it straight away.

Cookies

This site uses the cookies it needs to make the shop, the basket and the checkout work. Where we use anything beyond that, you will be asked to consent first through the banner that appears when you arrive, and you can change your mind at any time.

Our cookie notice sets out what is used and what each one does.

Children

This website is not aimed at children and we do not knowingly collect information about anyone under 16.

Changes

If we change this policy we will update the review date at the top.
